Job Description

Delta Dallas is looking for an Administrative Assistant for the Las Colinas area. Great position for someone that would like to learn more about the financial industry.

Responsibilities 

  • Assist with day to day office supplies, orders and maintaining an orderly, clean and pristine office appearance.
  • Assist with daily operations of the office, preparing meeting documents, scheduling appointments, assist with ordering lunch and picking up/delivery, stocking snacks for team, ensuring meeting rooms & kitchen remain clean
  • Maintain 2 break rooms to make sure coffee machine/ drink fridge/ snack cabinets/ utensils are stocked and/or functioning.
  • Schedule and confirm all travel itineraries / reservations.
  • High volume of expense reports for sales team, tracking down receipts, following up with sales team to get receipts.
  • Complete and route expense reports, departmental invoices, and other related documents accordingly.
  • Facilitate phone and email communications. Screen incoming calls and route and/or respond independently when possible.
  • Assisting Executive with any Admin task/dilemma at hand as well as foreseeing future problems
  • Coordination of events, meetings, and conference logistics (including reserving meeting rooms, arranging catering, issuing information or invitations, coordinating speakers, coordinating client group travel arrangements, controlling event budget, setting up audio visual equipment) 
  • Act as liaison between sales team, executives, members of the management team, external constituents, as well as other business contacts; comfortably interacts with various individuals on a daily basis. 
  • Implement Helping Hands & Wellness program to reflect the Newport Office events. 
  • Coordination of events, meetings, and conference logistics (including reserving meeting rooms, arranging catering, coordinating speakers, controlling event budget, setting up audio visual equipment). 
  • Create marketing signs for TVs/posters for social events mentioned above.

Job Requirements

  • Be comfortable with frequent change in job duties
  • Be very professional and customer-centered with rolling out the red carpet service for important client meetings
  • Displays humility, ambition and is proactive
