Administrative Assistant – Irving/Los Colinas

Delta Dallas is currently representing a rapidly growing engineering firm in Las Colinas in its search for an Administrative Assistant to provide essential operational support. The Administrative Assistant will be primarily responsible for managing day-to-day office functions and providing support to all staff, clients, and visitors. The ideal candidate will be organized, able to prioritize and streamline various responsibilities and work with a sense of professionalism and urgency.

Key Responsibilities:

  • Receiving visitors at front desk by greeting, welcoming, and communicating to relevant staff
  • Conference room set up as required for in-house and client meetings
  • Collect, distribute and send/receive mail and packages
  • Maintain and stock general office supplies and breakroom supplies
  • Maintain software licenses and annual renewals
  • Maintain engineers’ registrations and annual renewals for the firm and applicable staff
  • Maintain firm’s minority-owned business license and annual/bi-annual certifications
  • Reconcile and submit expense reports for accounting purposes
  • Review client contracts as required, and coordinate with outside legal counsel
  • Review contracts and proposals as needed including sub-consultant agreements
  • Assist with basic bookkeeping and accounting functions
  • Prepare communications including emails, memos, invoices and reports as required
  • Schedule appointments and maintain multiple shared calendars
  • Maintain existing electronic and physical filing system
  • Edit, review and assist with reports and letters to support operations functions
  • Maintain CRM database including new business opportunities, past and present projects, employee data and client information

Requirements:

  • Strong inter-personal and communication skills (written and oral)
  • Motivated, self-starter with the ability to work independently as well as in collaboration with a team 
  • A keen eye for detail, contributing to the proofreading and copyediting process of all material
  • A positive, firm-first attitude and strong work ethic
  • Ability to balance and prioritize multiple tasks and establish a strong workflow
