Job Description Our client, a Financial Investment firm with a new office in Dallas, TX, is hiring a proactive and ambitious experienced  Administrative Assistant. The Administrative Assistant will focus on supporting two senior-level executives and their team of financial advisors.  The ideal candidate will have at least three years of related experience, as well as an energetic and proactive approach.  If you are interested in this opportunity and would like to be considered, please submit a copy of your resume today! RESPONSIBILITIES

  • Assist Financial Investment Advisor/Broker team with Salesforce database needs including entering business card information, updating relationships of client and bankers, adding contacts to campaigns, creating buyer lists to deals, and updating parties during the cycle of the deal
  • Preparing client presentations, marketing and meeting materials for advisors
  • Document flow tracking and managing work flow
  • Assist portfolio managers with: telephone coverage, written communications/reports, account restriction/guideline monitoring, trade allocation program prep, periodic commentary preparation/distribution, maintenance of accurate client records
  • Electronic, physical filing and maintenance
  • Open new client accounts and administer asset transfers
  • Schedule appointments and manage financial advisors’ calendars
  • General support duties for office staff, such as scanning, emailing, printing, and faxing
  • Producing various materials including daily reports, market data information, meeting prep packets, research materials, presentations, etc.
  • Handling daily mail, file systems, expense reporting, etc.
  • Special administrative projects as needed

Job Requirements


  • Associate's or bachelor’s degree preferred
  • 3 plus years' experience as an Administrative Assistant working with multiple team members
  • Investment Banking/Financial Services/Wealth Management/Securities experience is a HUGE PLUS
  • Excellent attention to detail and follow-through skills
  • High level of reliability, diligence, professionalism and discretion is required
  • Professional demeanor with strong oral and written communication skills
  • Strong organizational skills with ability to prioritize and handle multiple tasks simultaneously
  • Ability to work independently with minimal supervision
  • Demonstrated proficiency with Microsoft Office products
  • Ability to complete work with speed and accuracy, often under pressure and/or short deadlines
