Administrative Assistant - Arlington
 

Delta Dallas is currently representing a high-profile executive and her team in the Arlington area in her search for an Administrative Assistant. This role offers quite a bit of diversity in duties, always managing special projects and taking on responsibilities that are not available in “typical” corporate administrative roles. The role is extremely team oriented – the executive has two Executive Assistants who provide her primary and personal support; the Administrative Assistant will work directly with the EAs and report to one.

The organization is an events-based organization with regularly scheduled functions on nights and weekends. This role is NOT an 8-5 role – it will require regular work outside of “corporate” hours. Overtime is paid, and periodic schedule adjustments are made to accommodate the expected overtime.

Responsibilities include, but are not limited to:

  • Support for Executive Office
    • Answer phones for executive office
    • Office Administration: office supplies (inventory, ordering, and returns); office equipment maintenance and service; document management
    • Manage conference room schedule for internal/external stakeholders and visitors
    • Personal inventory management (artwork, jewelry, wardrobe, etc.)
    • Incoming/outgoing mail management – FedEx, UPS, USPS, Couriers
    • Tracking of incoming/outgoing gifts (birthday, anniversary, holiday – corporate and
    • Personal and Payables
    • Accounting support – payables, receipt/expense reimbursements
  • Special Project Tasks
    • Event support: distribute invitations, track RSVPs, print seating charts, VIP client services, venue setup, social media, acting as liaison with Sales/Marketing department as necessary
    • Photography: coordinate schedules and assignments for contracted photographers; manage photo archives and files
    • Holiday support: coordinate all holiday gift and card distribution; manage mailing lists; track incoming gifts, invitations, cards, etc.; coordinate RSVPs for all internal holiday parties and events
    • Private Jet/Private Yacht: inventory management (floral, accessories, table décor, place settings, menus, etc.); research on destinations (restaurants, bars, shopping, sights, etc.); guest lists and itineraries; international shipping

What will it take to be successful in this role?
  • Availability to work overtime on a regular basis, including nights and weekends during peak seasons
  • A high level of discretion and confidentiality; the executive is well-known internationally, and the Administrative Assistant will be exposed to quite a bit of personal information
  • A passion for administrative support – someone who loves being part of a busy executive’s life and helping days/events run smoothly
  • The ability to work in a fast-paced, ever-changing environment
  • Someone who has excellent independent judgment and problem-solving skills, but who is also willing to ask questions
  • A team player! The Administrative Assistant will partner with other administrative support at multiple levels of the organization and must be able to work as a team.
  • Ability to work with a number of different personality types
  • A high level of professional polish, with the ability to be the “face” of the executive to internal/external stakeholders at every level (celebrities, politicians, international executives, and other VIPs)

Targeted salary: $60-65K base, plus overtime and bonus and a full benefit package
