Executive Assistant - Addison


Delta Dallas is currently supporting a not-for-profit it its search for an Executive Assistant to support its CEO and executive team. The CEO wants a “right hand” and a “wingman” to act as a true business partner in his day-to-day administrative support needs.

Qualified candidates will have 5-7 years’ C-suite executive support experience as well as experience supporting a Board of Directors and all Board activities (non-negotiable).

The CEO travels heavily (domestic) and relies upon his Executive Assistant to keep him on track at all times with detailed calendar management, meeting planning, inbox and phone management, PowerPoint presentations, expense reporting and gatekeeping. He needs a candidate who will anticipate his needs and use critical thinking skills and time management skills to ensure his days move as smoothly as possible.

Our client supports the healthcare industry and will require that all employees be fully vaccinated against COVID-19 no later than October 15.

Responsibilities:

  • Management of extremely active calendar.
  • Travel and business expense reports.
  • Executive correspondence.
  • Arrange complex and detailed travel plans, itineraries, and agendas.
  • Organize meetings (Leadership, Board of Directors, etc.) through the coordination and distribution of the agenda and related materials, tracking attendance and recording and posting of minutes.
  • Act as a liaison with Board of Directors, senior leadership team, and other internal stakeholders to communicate all executive/leadership initiatives.
  • Attend meetings and take notes to ensure that objectives of each meeting are met, minutes and action items are recorded.
  • Manage and coordinate special projects.

Requirements:

  • Bachelor’s degree is preferred.
  • Seven years’ experience supporting C-suite executives in a corporate office environment is required.
  • Experience supporting Board of Directors’ activities is required.
  • Highly organized with excellent time management skills.
  • Problem solving skills.
  • Excellent writing and grammar skills.
  • Extensive knowledge in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and social media web platforms.
  • Forward-thinking – always anticipating needs and adjusting workflow as necessary to meet the demands of a busy executive.
