Job Description

Delta Dallas is currently representing a high-profile executive and philanthropist in the search for an Executive Assistant to work out of a home office in the Turtle Creek area of Dallas.

The Executive Assistant will be responsible for a wide variety of support responsibilities in a team-oriented environment. This position will work closely with a team of administrative support professionals and household/estate management members to ensure the executive’s needs are covered at all times. The estate consists of eight buildings in Dallas, including rental properties and on-site offices. The executive also has properties in New York, Hawaii, New Zealand, and the Caribbean.

The Executive Assistant will be required to work onsite nights and weekends on a regular basis. The executive hosts meetings and events at the estate during non-business hours, and the Executive Assistant will often be required to attend.

Primary responsibilities will include:

  • International calendar management (Microsoft Outlook)
  • Domestic and international travel coordination (with the assistance of a travel agent)
  • Expense reporting
  • Executive correspondence
  • Meeting coordination
  • Invoice management
  • Personal shopping
  • Personal and professional event planning
  • Household organization

Requirements include:

  • Ability to work in an extremely fast-paced environment, and in stressful situations
  • High level of initiative; must remain two steps ahead of the executive at all times
  • Strong technical skills, particularly within the MS Office Suite (Word, Excel, and Outlook)
  • High level of professionalism, discretion, and confidentiality
  • Team mentality
  • Excellent organizational skills
  • Strong time management skills
  • Ability to be on call 24/7, attending events and meetings after hours as requested
  • Willingness to take on any responsibility to ensure the executive’s satisfaction (up to and including household chores and cleaning when requested)
