Job Description

We are seeking a TOP NOTCH EXECUTIVE ASSISTANT/OFFICE MANAGER to join a rapidly growing organization in the health care industry.  

The ideal candidate will be an energetic professional who doesn't mind wearing multiple hats and has experience in handling a wide range of administrative, office management and executive support related tasks.

The Executive Assistant will provide direct support to four executives including the CFO and CEO in the corporate office.

Essential Job Duties and Responsibilities

  • Manage and maintain executives' schedules, appointments and travel arrangements
  • Arrange and coordinate meetings including four board meetings per calendar year; handling all logistic and meeting preparations including PowerPoint presentations
  • Order and maintain office supplies and arrange equipment maintenance
  • Prepare reports, memos, invoices letters, and other documents
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
  • Interact with external clients and serve as the liaises with internal staff at all levels
  • Other duties as assigned

Job Requirements and Qualifications

  • A minimum of five years’ experience in an administrative role supporting senior management and executive leadership preferably from the health care industry 
  • Excellent written and oral communication skills
  • Excellent calendar management skills, including the coordination of complex executive meetings
  • Experience assisting management with the creation of PowerPoint presentations
  • Strong knowledge of MS Office including Work, Excel, PowerPoint and Outlook
  • Experience scheduling travel arrangements for management
  • Ability to think creatively, highly driven, self-motivated, highly organized
  • Must be detail oriented and very organized
  • Strong and collaborative team player
