The Principal seeks a highly experienced Executive Assistant who can support the Principal's fast-paced work and mission, overseeing and administering the work to allow for smooth functioning, while anticipating needs and collaborating with others.
The EA must be proactive, skilled, organized, intelligent, and resourceful, anticipating next steps, solving problems, and capable of managing multiple projects and deadlines. We expect the EA to be diligent, hands-on, and hardworking.
Duties to include, but are not limited to:
- Assists with all aspects of work and personal life as delegated, acting in a manner which requires the strictest confidentiality
- Proactively manages daily priorities and schedule, daily preparing and submitting a Priorities List, updating its progress and assuring its completion and leading daily priorities meetings with staff
- Revise previously published material
- Collaborate with Principle in order to publish writings
- Manages e-mail, taking responsibility to ensure that appropriate and timely responses are made to all e-mails, drafting responses and/or responding on behalf of the Principal and alerting the Principal to important e-mails when they arrive, working in conjunction with the Special Projects Coordinator
- Manages the Principal's daily schedule, coordinating calendar with the Administrative Assistant, reviewing to make sure calendar entries are complete and accurate. Daily and continued overview with the Principal of schedule – upcoming calls, events & meetings
- Assumes responsibility for establishing and maintaining connections with various networks and donors, and maintaining lists of same
- Coordinates with Finance Team around contracts, documents requiring signature; prepares expenditure proposals for their approval; develops and maintains budgets; approves bills and invoices (with care to which entity should be expensed); reconciles credit card
- Creates, edits and proofs materials, documents and PowerPoints for meetings, workshops, and books
- Responds to speech/appearance and interview requests, preparing the Principal, and coordinating with others to ensure efficiency. Prepares and distributes all related materials
- Takes notes as requested for meetings, conference calls, etc., and disseminates to appropriate parties; transcribes and processes dictations; creates agendas; attends and participates in meetings as requested.
- Coordinates and executes events and meetings
- Performs research and writes summaries of findings as requested
- Acts as gatekeeper and contact for the Principal, handling all aspects of following up with the Principal's friends, family and work contacts
- Acts as Administrator of technology systems (phone, IT, etc.)

• Models and participates in setting a positive, productive tone for the office
• Supervises other staff and contractors as directed
• Drives the Principal and others as requested
• Runs errands as requested
Qualifications:
- Bachelor’s Degree required
- Advanced degree and/or professional certification preferred
- Five to ten years of C-suite executive administrative experience required
- Financial and/or legal experience preferred
- Must have experience managing people and projects
- Excellent written and verbal skills
- Excellent attention to detail and organizational skills
- Must be flexible, resourceful and proactive
- Demonstrate initiative and independent thinking
- Demonstrate high sensitivity to confidential matters and ability to show tact and diplomacy
- Computer skills: must be highly proficient in Outlook, Word, Excel, PowerPoint, etc.
