Office Administrator - North Dallas

The Office Administrator provides administrative support in a small, entrepreneurial (yet established) environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills. The Office Administrator will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
 

Responsibilities will include:

  • General maintenance of the office including supplies, inventory and equipment
  • Maintaining filing systems, both physically and electronically
  • Manages the reception area and acts as a first impression for the company, both in person and electronically
  • Works with building management, maintenance and security as needed
  • Under the direction of the Vice President, acts as a liaison between the company and benefit coordinators and manage employee benefits
  • Prepare and format information for internal and external distribution
  • Conserve Vice President’s time by reading, researching and routing correspondence, drafting letters and documents, collecting and analyzing information
  • Manage company’s accounts payables and receivables, including invoice creation, payment collections, budget variance reporting and account reconciliation
  • Routinely assess company spending and implement procedures to reduce costs
  • Maintain company database and lead generation sources
  • Make outbound calls to companies to gather information for business development efforts
     

Knowledge, Skills and Abilities:

  • Experience working in an office management or administrative support role in a small business setting
  • Excellent technical skills – Microsoft Office and QuickBooks are REQUIRED
  • Exceptional verbal, listening and written communication skills
  • Ability to maintain a high level of accuracy in preparing and entering information
  • Very effective organizational skills
  • Be honest and trustworthy
  • Possess sensitivity to confidential matters
  • Excellent interpersonal skills
  • Analytical and problem solving skills
  • Time management skills
