Job Description

Delta Dallas is seeking an Office Manager / Bookkeeper who will report to the Director of Operations and is primarily responsible for general office activities. 
 

Responsibilities:

§Mail sorting, purchasing office supplies, facilities maintenance, directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. 

§Ensures effective telephone and mail communications both internally and externally to maintain professional image

§Vendor research, coordination and communication

§Accounting duties including payroll; A/R and A/P; client invoicing; financial statement creation; bank reconciliations

§Oversees scheduling of local pickups and deliveries; scheduling installation projects (local + out-of-state)

§Process includes, but may not be limited to, the following: updating scheduling matrix; scheduling installation labor (local + out-of-state); client contact and coordination; scheduling and updating load-out dates and labor for load-outs; coordinating and scheduling transportation services; producing installer paperwork and itinerary

§Manage inventory control system 

§Creating FF&E collections; coordinating deliveries; creating inventory release reports for warehouse staff; monitoring and reporting monthly and daily on-hand client storage; creating and tracking client inventory reports; overseeing client access (web-based viewing)

§Assist with new hire onboarding 

§Facilitate ongoing safety training courses for team members

§Manage staff (supervisory experience)

§  Assist with any marketing needs, including websites, social media and/or business development

Job Requirements

  • QuickBooks expertise is mandatory
  • Must possess the ability to multitask; Good planning and organizational skills
  • Professional appearance and manner
  • Must maintain a good, professional relationship with internal and external clients, consultants, and contractors; well-developed interpersonal and communication skills
