Job Description

Delta Dallas is currently representing a real estate development firm in Uptown Dallas in its search for a contract to hire Office Manager. While the office remains closed due to COVID-19 measures, the Office Manager is expected to work in the office daily in order to manage incoming/outgoing mail and packages, facilities issues, vendor contracts, and special projects.

Position Summary:
Responsible for overseeing general office management tasks as well as supporting corporate communications and any/all other projects assigned.

Essential Duties & Responsibilities:

  • Maintain current and new vendor relationships (i.e. Amazon, Amazon Fresh, plant provider, office supplies, shred provider, etc.).
  • Oversee the inventory for supplies (mailrooms, kitchenettes & café, and general office).
  • Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents and general data-entry, and other correspondences.
  • Coordinate facilities requests. Serve as office point of contact for property management.
  • Assist HR team with new hire on-boarding processes (i.e. security access badge, desk set-up, etc.).
  • Assist with inter-office moves and maintenance requests.
  • Code and submit office invoices to accounting team through AP system.
  • Manage office supply/vending budget and process reimbursements through Concur.
  • Greet guests for appointments and handle visitor inquiries.
  • Respond to general inquiries and coordinate the flow of information.
  • Point of contact for incoming and outgoing mail and parcels (FedEx, UPS, USPS, etc.).
  • Sort and distribute mail daily.
  • Responsible for maintenance of Pitney-Bowes postage machine.
  • Log all incoming checks (mail) to the accounting registrar and safe-lock outstanding documents for accounting pick-up.
  • Will support Manager of Marketing/Communications with internal and external communication projects and tasks.
  • Schedule and confirm various appointments for clients, customers and staff.
  • Multi-line phone system (message distribution and warm transfer calls to appropriate individuals)
  • Work with Executive Assistants with special projects.
  • Work with Executive Assistants for coverage for each role (i.e. lunch, breaks, sick-vacation, special projects).
  • Assist with office events and lunch orders for group meetings as requested.
  • Lead the Office Safety Committee and participate in other office committees as requested.
  • Special projects and other duties as assigned.

Requirements:

  • Minimum 5-7 years’ office management experience (mid-size company experience preferred)
  • Excellent communication skills (written and verbal).
  • Professional appearance and demeanor.
  • Positive flare with strong customer service attitude.
  • Proficient skills in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to be resourceful and proactive in dealing with issues that may arise.
  • Ability to organize, multitask, prioritize, and work under pressure.
  • Bachelor’s Degree highly preferred.
