Senior Administrative Assistant

Job Summary:

The Senior Administrative Assistant will support the Chief of Staff, working in the office of the Chairman and CEO of a privately held investment firm. The position's primary focus is to provide outstanding administrative support, while representing the company and Chairman's family in a professional and positive manner. Daily tasks will be demanding and varied and should be handled with the utmost confidentiality.

This position is 100% onsite in the company's Uptown Dallas offices. Candidates must be local to the Dallas area. Relocation assistance is not provided.

Job Requirements

Duties and Responsibilities:

  • Maintains calendar appointments and deadlines to ensure proper accountability and client deadlines are observed
  • Assists the Chief of Staff with coordinating in-depth travel: research, accommodations, transportation, Visa status, etc.
  • Assists the Chief of Staff with preparation of information for the Chairman's meetings, events, and speaking engagements
  • Tracks, documents, and manages all incoming mail to the Chairman's office, triaging the information by level of importance
  • Greets all incoming guests to the Chairman's office
  • Answers all incoming calls to the Chairman's office, logging and forwarding as necessary, under the direction of the Chief of Staff
  • Manages Chairman's contact list (personal and professional)
  • Maintains constant communication with Chairman's household staff members at multiple residences
  • Manages Chairman's photo library (personal and professional)
  • Assists with planning meetings for Chairman's office, including ordering catering, preparing meeting documentation, sending invitations, etc.
  • Handles and safeguards confidential and sensitive company and personal information
  • Organizes and prioritizes multiple tasks and completes them under strict time constraints
  • Manages daily correspondence and filing.

Qualifications:

  • Ability to work as a team with, and report to, other executive support professionals
  • Ability to communicate with high-profile dignitaries (including politicians, VIPs, and C-suite executives and business owners) on behalf of the Chairman
  • Advanced skills in Microsoft Office, Internet navigation and research
  • Excellent grammatical and proofreading skills
  • High level of confidentiality and ability to safeguard sensitive company and personal information
  • Ability to work under tight deadlines and manage multiple tasks simultaneously
  • Exceptional attention to detail
  • Ability to maintain a professional and positive attitude at all times
  • Ability to work with little direction and independently when necessary
  • Excellent problem-solving skills, high level of initiative
