Office Manager

Location: On-site in North East Dallas

Company Overview: Our client is a dynamic organization comprising with a lean team of dedicated employees.

Position Overview: Currently seeking an experienced and proactive Office Manager to join their team. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple responsibilities efficiently. This role will support various functions within the office environment, ensuring smooth operations and effective communication.

Compensation: $50,000 - $65,000 annually (salary range negotiable based on experience and qualifications)

Responsibilities:

Bookkeeping:

  • Manage trust account balances, including payments to attorneys, doctors, and clients.
  • Deposit incoming checks and reconcile financial transactions.
  • Utilize QuickBooks Online for bookkeeping tasks.
  • Collaborate closely with the reductions clerk to ensure accurate financial records.
  • Ensure compliance with Texas bar regulations regarding trust accounts.

Time Tracking:

  • Oversee team time tracking using QuickBooks.
  • Generate timecard reports and conduct audits for accuracy.
  • Approving time off requests - monitor attendance and sickness records, reporting issues to management and maintaining documentation.
  • Act as a liaison between the company's PEO (Professional Employer Organization) and the organization.

Office Support:

  • Coordinate monthly staff meetings, including reserving space, ordering food, and managing logistics.
  • Assist with internal event planning and coordination.
  • Maintain the office calendar, ensuring all events and meetings are accurately scheduled.
  • Facilitate internal communications related to events and meetings.

Qualifications:

  • Previous experience in office management or related roles preferred.
  • Bookkeeping experience is required ??? proficiency in QuickBooks Online is preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal abilities.
  • Familiarity with bookkeeping principles and trust account management is a plus.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Outgoing personality with a customer service-oriented mindset.
  • Experience with approving time off requests.
