Executive Assistant & House Manager
Location: Dallas, TX (on-site)                                                     Employment Type: Full-time, salaried

Overview
A prominent Dallas-based family is seeking a highly organized, discreet, and proactive Executive Assistant & House Manager to provide dual support to an ultra-high-net-worth household and an international nonprofit organization. This individual will oversee day-to-day household operations, manage personal and financial administrative functions, and provide direct executive support to the family???s matriarch in her capacity as CEO and Founder of a global nonprofit.

The ideal candidate is resourceful, detail-oriented, and thrives in a dynamic environment that blends professional administrative responsibilities with household management. This is a hands-on role requiring strong initiative, excellent judgment, and the ability to manage multiple priorities independently.



Key Responsibilities
Household & Family Office Management (approx. 80% initially)
  • Manage and reconcile multiple personal and household bank accounts.
  • Facilitate domestic and international money transfers and coordinate with the family???s investment office.
  • Maintain accurate records, update financial information, and assist with document preparation for tax filings.
  • Execute  household administrative systems, including filing, scheduling, and vendor coordination.
  • Coordinate special home services such as deep cleaning, rug or window treatments, and maintenance scheduling.
  • Manage household and pet supplies, including ordering, inventory management, and prescription tracking.
  • Run errands and handle logistical needs such as shipping, returns, and mail collection.
  • Organize domestic and international travel arrangements and ensure the home is prepared for arrivals and departures.
  • Maintain confidential records, passwords, and sensitive financial data.
  • Support administrative tasks related to family real estate entities and properties, including those located internationally.


Nonprofit & Executive Support (approx. 20% initially, expanding over time)
  • Provide executive-level administrative support to the CEO of an international nonprofit organization.
  • Manage light bookkeeping and expense tracking for the organization.
  • Coordinate website updates and marketing initiatives with internal and external partners.
  • Plan and execute fundraising events and donor engagement activities.
  • Oversee donation processing, including mail collection, check deposits, and donor database management.
  • Arrange domestic and international travel logistics for nonprofit-related events and board meetings.
  • Order office supplies, branded materials, and support general office operations.
  • Assist with filing (hard copy and digital), data organization, and reporting as needed.


Qualifications & Experience
  • Minimum 7 years of experience in executive support, household management, or family office administration.
  • Strong financial acumen and comfort with basic bookkeeping and bank reconciliations.
  • Highly organized, proactive, and capable of managing multiple priorities with minimal supervision.
  • Proficient in Microsoft Office Suite (especially Outlook) and comfortable working on a Mac.
  • Excellent written and verbal communication skills.
  • Experience handling confidential and sensitive information with discretion.
  • High attention to detail and follow-through; demonstrates initiative and sound judgment.
  • Ability to interact professionally with a wide range of individuals, from vendors to board members.
  • Flexible and adaptable with a positive, service-oriented attitude.
  • Must be comfortable around dogs; Spanish language skills a plus.

Additional Information
This is a full-time position based in Dallas, TX. The expected work hours will be 9:00-4:00, Monday through Thursday, at the principals??? home, with Fridays remote. After-hours work will be rare, but periodically necessary, depending upon family and organizational objectives. 

The role offers a diverse mix of administrative, household, and organizational responsibilities and will evolve over time as household systems are streamlined and nonprofit support expands.
