Administrative Assistant
Role Overview
The Client Relations Specialist role is heavily personality-driven and centered on building meaningful relationships with clinicians. Experience is secondary to creativity, organization, and a genuine ability to connect with people.
This position supports and celebrates approximately 300+ medical facilities, and the role is expected to evolve over the next year as the organization continues to grow.
Responsibilities
Client Engagement & Milestones
- Manage clinician touchpoints and celebrations (birthdays, anniversaries, weddings, home purchases, etc.)
- Coordinate handwritten birthday cards for all clinicians
- Personally deliver gifts to local Dallas clinicians when possible
- Own milestone recognition strategy and execution
- Coordinate and oversee provider/facility activations (e.g., lunch deliveries for entire facilities)
- Source vendors, manage payments, and ensure smooth execution
- Example: coordinating lunches for multiple facilities nationwide on the same day
- Significant administrative coordination related to clinician engagement
- Workload fluctuates based on milestone timing and clinician onboarding waves
- Assist with conferences and large-scale events
- Contribute to internal newsletters
- Full ownership of sourcing, selecting, and coordinating gifts
