Executive Assistant

Delta Dallas Dallas, TX (Onsite) Full-Time

Delta Dallas is partnering with an organization in its search for an experienced Executive Assistant. This individual will work closely with the CEO, providing high-level support while overseeing office administration, board relations, and the daily operations of a fast-paced, rapidly growing startup.

The role demands excellent interpersonal skills, discretion, a professional demeanor, and the ability to communicate effectively with stakeholders at all levels of the organization. This position is ideal for someone who thrives in high-pressure environments, can manage multiple priorities, and ensures seamless operations and clear communication throughout the organization.

Key Responsibilities:
  • Provide complex calendar management for the executive team, including scheduling and prioritizing meetings, appointments, and travel arrangements.
  • Coordinate and organize internal and external meetings, including logistics, materials preparation, and follow-up actions
  • Plan and execute company events, meetings, and conferences, ensuring all details are managed efficiently and within budget.
  • Manage executive email inboxes, ensuring timely responses, flagging important matters, and assisting with email organization.
  • Prepare and manage board meetings, including compiling agendas, taking meeting minutes, and maintaining accurate records of proceedings.
  • Coordinate domestic and international travel, including flight, hotel, and transportation bookings, as well as preparing detailed itineraries.
  • Track and report expenses for the executive team, ensuring accurate and timely submissions.
  • Oversee office facilities, vendor relationships, and manage requests for office supplies and equipment.
  • Assist with ad-hoc and special projects as identified by the executive team, providing support in research, logistics, and execution.
  • Requirements:
  • Strong organizational and problem-solving skills, with the ability to manage competing priorities and deadlines.
  • Excellent written and oral communication skills, with the ability to interact professionally with all levels of the organization.
  • Self-starter with a proactive and intuitive approach to work, able to identify needs and take initiative without extensive direction.
  • Attention to detail and a high level of accuracy in all tasks, particularly when dealing with sensitive information.
  • Innovative and creative mindset, always looking for ways to improve processes and efficiencies.
  • Exceptional time management skills, capable of managing multiple tasks and deadlines simultaneously.
  • Strong team player with a positive and collaborative attitude, contributing to the overall success of the team.
  • Demonstrated ability to handle confidential information with discretion and integrity.
  • High standards of work ethic and accountability, ensuring quality output at all times.
