Job Title: Executive Personal Assistant

Summary: The Executive Personal Assistant (PA/EA) role revolves around providing comprehensive support to the Principal, managing their personal and professional affairs with meticulous attention to detail and professionalism. The role encompasses a wide array of responsibilities including managing correspondence, overseeing finances, coordinating logistics, facilitating communication, and organizing various aspects of the Principal's life. Flexibility, adaptability, and strong organizational skills are paramount in this dynamic and fast-paced environment.

Responsibilities:
  1. Daily Engagement: Commence the day by arriving at the Principal???s residence with breakfast, and conduct a briefing to understand their priorities for the day and plan task execution accordingly.
  2. Correspondence Management: Handle incoming mail and emails, summarizing their content and taking necessary actions, including forwarding to relevant parties or responding directly as appropriate.
  3. Financial Management: Oversee all payments, ensuring accuracy, proper documentation, and adherence to budgetary guidelines. Maintain records of receipts and expenditures in a meticulously organized spreadsheet.
  4. Document Management: Maintain a structured filing system for important documents and ensure their safekeeping.
  5. Communication Liaison: Act as a liaison between the Principal and various stakeholders, including banks, financial personnel, and other businesses, managing tasks such as filling out insurance applications or facilitating financial transactions.
  6. Relocation Assistance: Facilitate seamless transitions during relocations, coordinating logistics, managing contractors, and ensuring the smooth transfer of belongings, including valuable artwork.
  7. Property and Asset Management: Schedule and oversee maintenance tasks for properties and vehicles, manage household staff, and ensure bills and utilities are promptly handled.
  8. Travel Coordination: Assist in planning and modifying travel arrangements, researching and booking flights and accommodations, and maintaining flexibility to accommodate last-minute changes.
  9. Research and Documentation: Conduct research on various topics as requested by the Principal and compile findings into clear and concise documents or spreadsheets.
  10. Health Management: Coordinate medical appointments, manage medication orders, and assist with completing medical documents as needed.

Additional Considerations:
  • Adaptability: Recognize and accommodate the Principal's fluctuating needs and preferences, maintaining flexibility in tasks and schedules.
  • Communication: Keep the Principal informed of important updates and developments, even during periods of heightened focus or reduced availability.
  • Initiative: Proactively identify opportunities to streamline processes or improve efficiency in the Principal's day-to-day activities.
  • Boundary Management: Maintain clear and respectful boundaries while remaining receptive to the Principal's occasional boundary-pushing tendencies, balancing flexibility with firmness.
