Delta Dallas is assisting their client in the real estate investment banking industry with their search for a temporary Executive Assistant who will be covering maternity leave until the end of January
This is a full-time, on-site position in Dallas, Texas. 

Executive Assistant

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to Managing Directors
The role involves managing complex travel arrangements, itineraries, and schedules, ensuring executives are informed of key commitments and business developments
This position also requires planning and coordinating meetings, acting as a liaison with the broader team to enhance efficiency, and managing various administrative tasks.

Responsibilities:
  • Executive Support: Manage complex travel arrangements, itineraries, and schedules for Managing Directors
    Keep executives informed about upcoming commitments and business issues, providing timely updates as needed.
  • Meeting Coordination: Plan, coordinate, and prioritize meetings based on business requirements.
  • Team Liaison: Act as a point of contact with the broader team to improve scheduling efficiency and establish best practices.
  • Administrative Tasks: Handle diverse administrative duties including managing time and travel logistics, preparing expense reports, correspondence, charitable contributions, and client gifts.
  • Event Management: Organize and execute local events such as closing dinners, happy hours, and golf outings.
  • Database Management: Oversee and organize internal databases to ensure accuracy and accessibility.
  • Marketing Support: Ensure timely distribution of marketing materials and manage related logistics.
  • Data Reporting: Perform data reporting using internal software applications and coordinate with internal and external counsel as needed.
  • Personal Assistance: Assist with personal requests, including travel arrangements and errands.
  • Collaboration: Work effectively with business operations teams across multiple offices.

  • Performance and Deadlines: Proven track record of meeting performance goals and deadlines in a fast-paced environment.
  • Innovative Thinking: Forward-thinking with the ability to identify and suggest solutions.
  • Calendar and Expense Management: Experienced in managing complex calendars and handling expenses for multiple team members.
  • Technical Proficiency: Tech-savvy with strong computer skills, including proficiency in MS Office (Outlook, Excel, Word, PowerPoint), Microsoft Teams, and Zoom
     Experience with Concur for expense management and travel booking is a plus.
