Personal Executive Assistant - Personal and Business Affairs

Position Overview: We are seeking a highly organized and proactive Personal Executive Assistant to provide comprehensive support to our high-profile client. The successful candidate will manage both personal and business affairs, ensuring seamless coordination of schedules, events, travel, and daily activities. This role requires exceptional attention to detail, excellent communication skills, and a flexible approach to handling a wide range of responsibilities.

The ideal candidate will have at least 5+ years of Personal Executive Support experience to high profile individuals, experience utilizing Apple/MAC products, is available to travel with very little notice, is experienced in booking private international travel and has hospitality experience in their background.

Note: This position is based in Dallas, but international travel is involved (25%-30% of the year, oftentimes with little notice)

Primary Responsibilities:

Travel and Calendar Management:

  • Efficiently plan and coordinate domestic and international travel, including private travel arrangements, for the Principal.
  • Assist with the reorganization of personal items as needed, ensuring optimal efficiency and organization.
  • Take ownership of event planning and execution, including dinners, parties, and other special occasions.

Global Meeting Planning:

  • Take the lead in organizing offsite meetings, identifying suitable locations and vendors for global gatherings.

Time Management and Executive Support:

  • Assist the Principal in maximizing his time effectively, contributing to increased productivity and focus.
  • Travel with the Principal, involving significant international travel

Administrative Support:

  • Efficiently manage the principal's calendar, coordinating personal and professional commitments while prioritizing tasks effectively.
  • Handle all aspects of ordering items for the principal, from business supplies to personal items.
  • Maintain a comprehensive inventory of the principal's belongings during travel.
  • Oversee wardrobe management, coordinating clothing orders, alterations, and inventory.
  • Utilize computer literacy to manage emails, expense reports, and various administrative tasks.
  • Prepare and maintain protocols for the principal's preferences and procedures.
  • Coordinate information flow accurately and promptly.
  • Plan and schedule meetings, ensuring all logistics are well organized.
  • Provide comprehensive administrative support, including typing, spreadsheet creation, and database management.


Experience and Professionalism:

  • 5+ years of personal executive assistant experience to C-suite, high priofile or UHNW individuals.
  • Previous global experience and exposure to private travel arrangements.
  • Exemplify a high level of professionalism.

Skills and Traits:

  • Demonstrate exceptional attention to detail in all aspects of the role.
  • Possess a strategic mindset, serving as a proactive and strategic partner to the Principal.
  • Exhibit high emotional intelligence and the ability to build strong relationships within the organization and externally.
  • Take on a leadership role within the internal team and among fellow EAs, managing-up effectively and making informed decisions on behalf of the CEO.
  • Maintain a high level of organization and diligence.
  • Reflect the conservative and polished demeanor of the Principal.
  • Take initiative and demonstrate a proactive approach to problem-solving.

Personal and Communication Skills:

  • Display excellent written and verbal communication skills.
  • Strong organizational skills with meticulous attention to detail.
  • Proficiency in office software and a quick aptitude for learning new tools.
  • Ability to maintain confidentiality and professionalism at all times.
  • Embrace flexibility and adaptability within a dynamic team environment.

Additional Requirements:

  • Previous experience coordinating complex international travel arrangements. Private travel experience is a plus.
  • Experience with budget management and expense reporting.
  • High degree of resourcefulness and strategic thinking.
  • Previous wardrobe management experience is an asset.
  • Prior experience working with luxury brands, events, or retail environments is desirable.
