EXECUTIVE ASSISTANT - SENIOR LEADERSHIP


Position Overview
This role serves as the organizational backbone for senior leadership, ensuring their days run smoothly and strategically. The Executive Assistant manages high-volume calendars, coordinates meetings and communications, and keeps operations moving with precision. The ideal candidate is proactive, discreet, highly organized, and thrives in a fast-paced, collaborative environment.


Key Responsibilities


  • Manage complex, dynamic calendars and coordinate meetings across multiple time zones
  • Track priorities, action items, and deadlines to ensure timely follow-through
  • Support daily operational needs and assist with finance, legal, or other corporate functions
  • Coordinate travel arrangements, itineraries, and expense reporting
  • Prepare polished reports, presentations, and confidential documentation
  • Serve as a trusted liaison with internal stakeholders, external partners, and vendors
  • Draft and edit executive-level correspondence and communications
  • Handle sensitive and confidential information with discretion and sound judgment
  • Identify opportunities to streamline workflows and enhance administrative efficiency
  • Collaborate with administrative team members to ensure seamless coverage and support
  • Assist with meeting logistics, reception coverage, and occasional office events
  • Support special projects, cross-functional initiatives, and company-wide events
  • Anticipate executive needs and proactively address issues
  • Maintain organized digital files, documentation, and record-keeping systems

Requirements


  • Proven experience supporting senior executives in a fast-paced environment
  • Exceptional organizational and time-management skills, with the ability to manage multiple priorities
  • Strong written and verbal communication skills
  • Discretion and ability to handle highly confidential information
  • Proactive, resourceful, and able to anticipate executive needs
  • Excellent problem-solving skills and attention to detail
  • Proficiency in Microsoft Office Suite and other productivity tools; experience with calendar and travel management software preferred
  • Ability to collaborate effectively with cross-functional teams
  • Flexibility to adapt to changing priorities and shifting business needs
  • Professional demeanor with a positive, team-oriented attitude
  • Bachelor's degree or equivalent experience preferred
